This policy explains how CAI-PAN processes personal data when you visit our website or contact us.

1. Controller and contact

CAI-PAN GmbH & Co. KG
Wacholderweg 27
92256 Hahnbach, Germany
Email: info@cai-pan.com
Telephone: +49 9664 5729022

For questions about data protection or to exercise your rights, contact datenschutz@cai-pan.com.

2. Hosting and email

Our website and email are hosted by ALL-INKL.COM – Neue Medien Münnich, owner René Münnich, Hauptstraße 68, 02742 Friedersdorf, Germany. We have a data processing agreement with the provider dated 9 June 2018. The provider processes data on our instructions under that agreement. Its contractual technical and organisational measures specify data storage in Germany.

3. Website access and server statistics

When your browser requests a page, technical data is processed to deliver the website and operate it securely. Access logs may contain the requested address, date and time, referring page, browser and operating system, response status, transferred data volume and an IP address. Our hosting configuration shortens IP addresses before recording them, for example from 11.22.33.44 to 11.22.0.0.

The configured log retention period is 190 days. Hosting-based access statistics are enabled. We use access data to monitor website operation, investigate faults and misuse, and understand use of the website. The legal basis is Article 6(1)(f) GDPR, subject to the necessary balancing of interests. Our interests are reliable and secure website operation and its improvement. These server-based statistics are separate from Google Analytics.

4. Contact form and enquiries

The contact form requests your name, company, email address, country, type of enquiry and message. We use the information to process and respond to your request and any follow-up correspondence. Submissions are sent by email to info@cai-pan.com. The configured form action is email delivery; no separate form-entry storage action is configured. Relevant data is accessible to the staff handling your enquiry and the hosting and email provider.

Where a request concerns a contract with you or steps you request before entering into a contract, the legal basis is Article 6(1)(b) GDPR. Other enquiries, including communication with representatives of business partners, are processed under Article 6(1)(f) GDPR and our legitimate interest in handling business correspondence.

Contacting us is voluntary. Fields marked with an asterisk are required for form submission. Without sufficient contact information and details of your request, we may be unable to respond. You may also contact us by email.

5. Retention of enquiry data

We delete data relating to simple enquiries six months after the enquiry has been concluded, unless a continuing business relationship, statutory retention duties or the establishment, exercise or defence of legal claims requires longer retention. Commercial or business letters are generally retained for six years from the end of the calendar year in which they were received or sent. Other records may be subject to different statutory periods. Data retained solely to meet such obligations is used only for those purposes.

6. Cookies and consent

Cookies and similar technologies store or access information on your device. Where they are strictly necessary to provide a service you expressly request, section 25(2) TDDDG may permit their use without consent. Other storage or access generally requires prior consent under section 25(1) TDDDG. Any associated processing of personal data also requires an applicable legal basis under the GDPR. Where processing is based on consent, you may withdraw that consent for the future.

We use Complianz to manage your choices about cookies and services requiring consent. You can reject or accept optional services in the banner, or reopen and change your choices through “Privacy / Datenschutz”. Strictly necessary functions remain active. Details about the cookies recorded, their purposes and your choices are available in our Cookie Policy (German). The consent manager stores your choice so that it can be respected on subsequent page visits.

7. Your rights

Subject to the applicable conditions, you have rights of access, rectification, erasure, restriction of processing and data portability. You may withdraw consent at any time without affecting processing lawfully carried out before withdrawal.

You may object, on grounds relating to your particular situation, to processing based on legitimate interests. You may object to direct marketing at any time.

To exercise your rights, contact datenschutz@cai-pan.com. You may also lodge a complaint with a data protection supervisory authority, particularly in the country of your habitual residence, place of work or the alleged infringement. For private-sector organisations in Bavaria, the competent authority is the Bavarian State Office for Data Protection Supervision (BayLDA).

8. Updates

We update this policy when our processing activities, website functions or applicable requirements change.
